At Olive Tree Dental, we aim to provide high-quality, timely care to every patient. Each appointment reserves dedicated clinical time — including your dentist or hygienist, a dental nurse, and a fully prepared surgery.
Recently, we have seen a rise in missed or short-notice cancellations. This reduces appointment availability for patients who may need urgent care and results in unrecoverable clinical time being lost.
We fully understand that unexpected situations can occur, and we will always do our best to support you. However, to maintain fair and timely care for all our patients, we kindly ask that everyone follows the policy below.
Notice Period
We require a minimum of 48 hours’ notice (two business days, excluding weekends) to cancel or reschedule any appointment.
This notice period allows us to offer your reserved time to another patient who may be waiting.
If your appointment becomes inconvenient, we are more than happy to rearrange it for you — provided sufficient notice is given.
Payments and Deposits
From 1 January 2026, our booking policy is as follows:
The following appointments must be paid in full at the time of booking:
Check-up appointments
Hygiene appointments
Consultations, including: Periodontal consultations, Orthodontic consultations, Other specialist or extended consultations
50% deposit required at the time of booking of the following:
General treatment appointments
Specialist appointments such as Root Canal treatment, Periodontal treatment or Oral Surgery treatment.
All fees paid in advance will be deducted from your final treatment cost if you attend your appointment or if you provide the required
Fees for Missed or Late-Notice Cancellations
When less than 48 hours’ notice is provided, we are unable to offer the appointment to another patient. This results in unrecoverable loss of clinical and surgery time, including the clinician’s time, nursing support, and dedicated surgery space. Therefore:
For Check-up, hygiene and consultation appointments, If missed or cancelled with less than 48 hours’ notice, full fee paid will be forfeited and will not be transferred to a future appointment.
For General treatment and Specialist appointments, If missed or cancelled with less than 48 hours’ notice, The 50% deposit paid will be forfeited and will not be transferred to a future appointment.
Late Arrivals
Please aim to arrive promptly for your appointment so we can provide your full treatment. If you arrive late, we will always try to see you and provide as much care as possible within the remaining time. If you arrive too late for treatment to be carried out safely, your appointment may need to be rescheduled and a cancellation fee may apply. To avoid delays, please allow extra time for your journey. We will always strive to accommodate your needs and make every effort to provide emergency dental care whenever needed, even if at short notice, as we see this as our duty of care towards our patients, so we respectfully appreciate your support whilst we try to achieve this with minimal inconvenience to either party involved.
We fully understand that sometimes being late can be outside of your control, so we will always do our best to accommodate late arrivals by performing the most complete treatment possible in the time remaining, however arriving too late to perform the treatment may result in a cancellation charge or a delay in being seen or the need to reschedule your appointment in order not to compromise the level of treatment being administered.
